Privacy Policy
What we collect, why we collect it, and what you can do about it. We have kept this in plain language wherever possible.

1.Who we are
Groohve is an out-of-home (OOH) advertising platform operated by [Legal Entity Name], registered at [Registered Address]. We provide software that lets media owners list and manage advertising inventory, and lets advertisers discover and book that inventory.
This policy explains what personal information we collect when you use Groohve, why we collect it, and the choices you have. It applies to our website, dashboard, and public media kit pages.
2.Information we collect
We collect information you give us directly, information generated as you use the platform, and a limited amount of information from third parties you connect.
- Account information — name, email address, password (stored only as a hash), profile photo, and the account type you select at signup.
- Business and inventory information — company details, property and billboard listings, locations, availability, pricing, and any media you upload.
- Campaign information — bookings, campaign dates, approval status, and proof-of-campaign photos uploaded by you or by a person you invite through a proof upload link.
- Billing information — subscription plan, invoices, and payment status. Card details are entered directly with our payment processor and are never stored on our servers.
- Contact and messaging details — phone numbers used for WhatsApp notifications and email addresses used for transactional email.
- Technical information — IP address, browser and device type, pages viewed, and error logs, collected to keep the service secure and working.
3.How we use your information
We do not sell your personal information, and we do not use your content to train third-party AI models beyond what is required to return the result you requested.
- To create and administer your account and authenticate you when you sign in.
- To operate core features — listings, availability calendars, bookings, campaign approvals, and proof-of-campaign uploads.
- To process subscriptions and payments, and to issue invoices and receipts.
- To send transactional messages by email and WhatsApp, such as booking confirmations, payment reminders, proof requests, and permit expiry notices.
- To provide optional AI-assisted features, such as generating property visualisations from images you supply.
- To secure the platform, investigate abuse, and meet legal and tax obligations.
4.Legal bases for processing
Where data protection law requires a legal basis, we rely on: performance of a contract (to deliver the service you signed up for); legitimate interests (to secure, improve, and support the platform); consent (for optional messages where required); and compliance with legal obligations (for tax and accounting records).
5.Service providers we share data with
We use a small number of processors to run Groohve. Each receives only the information needed for its function and is bound to protect it.
- Supabase — database, authentication, and file storage for your account, listings, and uploaded media.
- Stripe — subscription billing and payment processing. Stripe handles card data directly under its own privacy policy.
- WhatsApp Business Platform (Meta) — delivery of WhatsApp notifications to phone numbers you provide.
- Email delivery provider — sending transactional email such as invoices, reminders, and password resets.
- Google Maps — displaying property locations. Map interactions are subject to Google privacy terms.
- AI providers — processing images and text you submit to optional AI features.
6.Information you make public
Media owners can publish a public media kit and property pages. Anything you add to those pages — business name, logo, property photos, locations, and availability — is visible to anyone with the link and may be indexed by search engines. Do not put information on a public page that you would not want shared openly.
7.How long we keep information
We keep account and content data for as long as your account is active. When you delete your account we remove or anonymise personal information within a reasonable period, except where we must retain records for legal, tax, or dispute-resolution purposes — typically invoices and payment records.
8.Your rights
Depending on where you live, you may have the right to access, correct, export, or delete your personal information, to object to or restrict certain processing, and to withdraw consent. You can update most details directly in your account settings, or contact us to exercise any of these rights.
You may also opt out of non-essential notifications from your notification preferences. Transactional messages necessary to operate your account cannot be switched off while the account is open.
9.Security
We use encryption in transit, hashed password storage, row-level access controls on our database, and scoped access links for proof uploads. No system is perfectly secure, so please use a strong, unique password and tell us promptly if you suspect unauthorised access to your account.
10.International transfers
Our providers may process data in countries other than your own. Where required, we rely on recognised transfer mechanisms such as standard contractual clauses to protect your information when it moves across borders.
11.Children's privacy
Groohve is a business tool and is not directed at children. We do not knowingly collect personal information from anyone under 16. If you believe a child has provided us information, contact us and we will delete it.
12.Changes to this policy
We may update this policy as the product changes. If a change materially affects how we handle your information, we will notify you by email or in the dashboard before it takes effect.
